Lead with the garment question
Name the intended garment and the panel or detail driving the selection. Explain what a sample should help decide, such as a quiet larger field, pocket continuity or a turned lapel relationship. The reference list can be empty when you need article recommendations. If references are included, distinguish physical sample IDs and confirmed article codes from the website's development-direction IDs. Keep source and permission with any photograph you plan to share.
Make composition constraints explicit
State whether the material condition is mandatory or a preference. If a particular composition is required, keep that wording in its own field and ask which identified articles can meet it. Unknown composition cannot qualify as satisfying a hard requirement. Do not infer fibre content from the look of the yarn or the herringbone name. Keep any claim or documentation requirement specific to the proposed article and intended programme.
Describe scale and direction with evidence
Use appearance words to explain the desired close and panel-level rhythm. Enter actual repeat dimensions only with the physical sample, direction, units and measurement basis. State the intended relationship at selected garment parts: common direction, alignment, continuity or deliberate variation. Keep the actual shapes and trial conditions where relevant. An illustration or photo without reliable measurement can communicate a preference without becoming a production dimension.
Keep sample and quantity needs clear
Ask for swatches, a larger cutting, sample metreage or a recommendation based on the task. List each colour with its original quantity and unit. Target GSM, usable width and timing can remain open when there is no actual requirement. Ask the team to confirm suitable articles, sample availability, applicable minimums and next steps. Do not fill the brief with typical stock, weight or delivery assumptions merely to make every line look complete.
Preserve trial records and open questions
Include the current observation and garment trial when they support the request. Keep sample identity, actual working conditions, photo index and buyer result, with the approval scope separate. End the brief with unresolved article and sample questions. If an earlier sample is replaced, state the change instead of silently transferring its specifications. Retain the complete revision with your attachments and the team's response so later decisions can be traced.
Review the English export and send yourself
The builder uses English field labels while preserving your original typed text. Check the whole record before sharing. Copy, download UTF-8 TXT or print it; a selectable backup appears if clipboard access is declined. Long briefs need the complete text pasted into your own email, and WhatsApp opens a short summary for you to expand. Add attachments there and complete the message yourself. A link click does not establish delivery or receipt.
Keep the original requirement language
If another person rewrites the brief for communication, compare it with the original hard constraints and quantity units. Preserve the buyer's actual requirements and identify any proposed change explicitly. The generated English field labels provide a structure; they do not authorise altering the input or treating a recommendation as an accepted specification.
Your decision and record
| Check | Decide | Keep with the reference |
|---|---|---|
| Purpose | State the garment and decision the sample supports. | End use, part and actual question. |
| Constraint | Separate material requirements from preferences. | Exact mandatory wording and confirmation request. |
| Appearance | Keep measured values distinct from visual goals. | Scale, contrast, surface, direction and evidence. |
| Sample | List stage, colours and quantities with units. | Original requirement and availability questions. |
| Record | Send the complete revised brief with evidence. | Export, attachments and written response. |
Questions for this step
Should I write every input in English?
The output field labels are English and your typed entries remain unchanged. Use wording the recipient can understand, and review the complete text before sending.
What is the minimum information for a brief?
An end use or meaningful project description gives the record a purpose. Unknown article values and targets can remain open.
What if the email link cannot hold the full text?
Copy or download the complete brief and paste it into your own email. The long-message link uses a short opening note instead of silently truncating the full record.
